Rules for using the Event Manager Pro platform

1. Purpose and Acceptance
These Terms of Service (hereinafter "Terms") define the terms and conditions for using the Event Manager Pro platform (hereinafter "the Platform"), accessible at https://eventmanager.sbs, published by Timevault TCG.
Using the Platform implies full and complete acceptance of these Terms. If you do not accept these conditions, you must immediately cease all use of the Platform.
These Terms prevail over all other general or specific conditions not expressly agreed by Timevault TCG.
2. Definitions
In these Terms, the following words have the following meanings:
- "Platform": refers to the eventmanager.sbs website and all associated services.
- "Publisher": refers to Timevault TCG, sole proprietorship publisher of the Platform.
- "User": refers to any individual browsing the Platform or using its services, including ticket buyers.
- "Organizer": refers to any individual or legal entity using the Platform to create and manage events.
- "Participant": refers to a User registered for an event or tournament.
- "Event": refers to any gathering, tournament, or event created by an Organizer through the Platform.
- "Ticket": refers to the digital access title generated by the Platform after purchase.
- "Account": refers to the personal space created by a User or Organizer.
- "Services": refers to all features offered by the Platform.
3. Description of Services
The Event Manager Pro Platform offers the following services:
3.1. For Users
- Viewing published events
- Creating a personal account
- Purchasing tickets for events
- Access to digital tickets with QR code
- Registration and participation in tournaments
- Decklist submission and management
- Viewing results and standings
- Participation history
3.2. For Organizers
- Event creation and management
- Ticketing configuration (ticket types, prices, quotas)
- Payment gateway integration (Stripe, PayPal, HelloAsso)
- Participant management and QR code check-in
- Tournament creation and administration (Swiss, Bracket)
- Pairing and results management
- Standings publication
- Penalty and infraction management
- Inventory and distribution tools
- Dashboard and statistics
3.3. Availability
The Publisher strives to keep the Platform accessible 24 hours a day, 7 days a week. However, access may be temporarily suspended for maintenance, updates, or in cases of force majeure, without entitlement to compensation.
4. Registration and Account
4.1. Registration Requirements
- User Account: Open to any individual aged at least 16 years. Minors under 16 must obtain authorization from their legal guardian.
- Organizer Account: Reserved for adult individuals (18 years and older) or legal entities represented by a duly authorized person.
4.2. Registration Process
Registration requires providing accurate and complete information:
- Surname and first name
- Valid email address
- Secure password (minimum 8 characters)
4.3. Account Responsibility
You are solely responsible for the confidentiality of your login credentials and all actions performed through your account. In case of suspected compromise, you must inform us immediately.
4.4. One Account Per Person
Each User or Organizer may hold only one active account. Creating multiple accounts may result in suspension of all concerned accounts.
5. User Obligations
5.1. Compliant Use
The User agrees to:
- Use the Platform in accordance with its purpose and these Terms
- Provide accurate and up-to-date information
- Respect the rights of other Users and Organizers
- Not interfere with the proper functioning of the Platform
- Not attempt unauthorized access to computer systems
5.2. Prohibited Conduct
The following are strictly prohibited:
- Identity theft
- Publishing illegal, defamatory, insulting, or discriminatory content
- Fraud or attempted fraud (particularly on payments or tournament results)
- Unauthorized resale of tickets at a price higher than the purchase price
- Use of bots, scripts, or other automated tools
- Any action intended to harm the Platform or its users
- Unauthorized collection of personal data
5.3. Tournament Participation
By participating in a tournament, the User agrees to:
- Respect the game rules and tournament regulations
- Behave with fair play and respect
- Accept decisions of judges and organizers
- Submit compliant decklists (where applicable)
- Appear for matches within the allotted time
6. Organizer Obligations
6.1. General Commitments
The Organizer agrees to:
- Provide accurate and complete information about their events
- Ensure events are held at the announced dates and venues
- Comply with applicable regulations (including venue safety rules)
- Process Participant data in accordance with GDPR
- Respond to Participant requests within reasonable timeframes
- Clearly define and communicate their refund policy
6.2. Responsibility to Participants
The Organizer is solely responsible for:
- The organization and smooth running of the event
- Event compliance with the published description
- Participant safety during the event
- Processing complaints and refund requests
- Obtaining necessary authorizations and insurance
6.3. Event Content
The Organizer guarantees that their events:
- Do not violate any intellectual property rights
- Do not promote illegal activities
- Respect game publisher rights (Wizards of the Coast, The Pokémon Company, etc.)
- Do not contain discriminatory or offensive content
6.4. Platform Fees
Currently: The Platform is provided free of charge during its launch period.
In the future: Platform fees of 1.25% of sales amount will be applied to transactions made through the Platform. These fees are in addition to payment provider fees (Stripe, PayPal, HelloAsso).
Example calculation for a €25 ticket (via Stripe):
- Ticket price: €25.00
- Stripe fees (1.5% + €0.25): €0.63
- Platform fees (1.25%): €0.31
- Total fees: €0.94
- Net amount to Organizer: €24.06
By creating an event, the Organizer contractually commits to paying platform fees within a maximum of 60 days after the event takes place.
7. Ticketing and Payments
7.1. Intermediary Role
Event Manager Pro acts solely as a technical intermediary between Organizers and Users. The Publisher does not sell tickets in its own name and is not a party to the sales contract between the Organizer and the User.
7.2. Purchase Process
Ticket purchases follow these steps:
- Selection of event and desired tickets
- Entering required personal information
- Cart validation and acceptance of conditions
- Secure payment via the provider chosen by the Organizer
- Receipt of ticket by email with QR code
7.3. Payment Methods
Depending on Organizer configuration, the following payment methods may be offered:
- Stripe: Credit card (Visa, Mastercard, American Express)
- PayPal: PayPal account or credit card
- HelloAsso: Solution dedicated to associations
- On-site payment: According to terms defined by the Organizer
7.4. Payment Security
Payments are processed by PCI-DSS certified providers. The Publisher does not store any credit card data.
7.5. Ticket Validity
Tickets are valid only for the indicated event and date. They are nominative and non-transferable unless explicitly agreed by the Organizer.
8. Refund Policy
8.1. Organizer Responsibility
Important: Event Manager Pro is not responsible for refund policies. Each Organizer defines and applies their own refund policy, which must be clearly communicated to buyers before sale.
Refund requests should be addressed directly to the event Organizer.
8.2. Cancellation by Organizer
In case of event cancellation by the Organizer, they are required to fully refund tickets sold, unless otherwise stated in their refund policy.
8.3. Processing Fees
Fees charged by payment providers during the initial transaction may not be refunded according to these providers' policies. Users are invited to consult the terms and conditions of Stripe, PayPal, or HelloAsso for more information.
8.4. Right of Withdrawal
In accordance with EU Consumer Rights Directive, event tickets are excluded from the 14-day right of withdrawal provided for distance purchases, as they constitute leisure services to be provided on a specific date.
9. Tournament Management
9.1. Tournament System
The Platform offers several tournament formats:
- Swiss: Swiss system with automated pairing
- Single Elimination: Direct elimination (bracket)
- Hybrid phases: Swiss + Top Cut combination
9.2. Results and Standings
Match results and standings are automatically calculated by the Platform. The Organizer remains responsible for final validation of results.
9.3. Penalties
Organizers and their judges may apply penalties in accordance with the rules of the relevant game. These penalties are recorded in the Participant's history.
9.4. Dispute Resolution
Disputes relating to tournament conduct (result contestation, behavior, etc.) are exclusively within the competence of the Organizer and their judges. The Publisher does not intervene in these decisions.
10. Intellectual Property
10.1. Publisher Rights
The Platform and all its elements (code, interface, texts, graphics, logos) are the exclusive property of Timevault TCG and are protected by intellectual property laws.
Any unauthorized reproduction, representation, modification, or exploitation is prohibited and may result in legal action.
10.2. User Content
Users and Organizers retain their rights to content they publish (event descriptions, images, decklists). By publishing on the Platform, they grant the Publisher a non-exclusive, royalty-free license to display this content as part of the Platform's operation.
10.3. Third-Party Trademarks
Game trademarks and names mentioned (Magic: The Gathering, Pokémon, Yu-Gi-Oh!, Lorcana, etc.) are the property of their respective owners. The Platform is not affiliated with these publishers unless otherwise stated.
11. Liability
11.1. Limitation of Publisher Liability
The Platform is provided "as is" and "as available." The Publisher does not guarantee that the Platform will be free from errors or interruptions.
The Publisher shall not be held liable for:
- Events organized by Organizers (cancellation, content, quality)
- Disputes between Organizers and Participants
- Non-performance or poor performance of an event
- Indirect damages (loss of profit, data, opportunity)
- Content published by Users or Organizers
- Third-party payment provider failures
11.2. Organizer Liability
The Organizer is solely responsible for their events and indemnifies the Publisher against any third-party claims related to their activities.
11.3. Force Majeure
The Publisher shall not be held liable in case of force majeure, including: natural disasters, pandemics, acts of war, government decisions, general Internet failures.
12. Termination
12.1. Termination by User
Any User may delete their account at any time from their profile settings or by contacting us. Deletion results in loss of access to Services and associated data, subject to legal retention obligations.
12.2. Termination by Publisher
The Publisher reserves the right to suspend or delete an account in case of:
- Violation of these Terms
- Fraud or attempted fraud
- Conduct harmful to the Platform or other users
- Non-payment of platform fees (for Organizers)
- Extended inactivity (24 months without login)
Except in urgent cases (fraud, security), the User will be notified in advance and may submit their observations.
12.3. Effects of Termination
In case of termination of an Organizer account with ongoing events or financial obligations, the Organizer remains bound by their commitments to Participants and the Publisher.
13. Changes to Terms
The Publisher reserves the right to modify these Terms at any time. Changes will be notified to users by:
- Displaying a notice on the Platform
- Email to registered users (for substantial changes)
- Updating the "last modified" date
New conditions take effect 30 days after their publication, unless legal provisions dictate otherwise. Continued use of the Platform after this period constitutes acceptance of the new Terms.
14. Governing Law and Jurisdiction
14.1. Governing Law
These Terms are governed by French law, regardless of the User's nationality or location of Platform use.
14.2. Dispute Resolution
In case of dispute relating to the interpretation or execution of these Terms, the parties will endeavor to find an amicable solution.
Mediation: In accordance with EU Consumer ADR Directive, you may use consumer mediation services free of charge. The competent mediator will be provided upon request.

14.3. Competent Jurisdiction
Failing amicable resolution, any dispute will be submitted to the competent courts of the Court of Appeal of Pau (France), unless mandatory legal provisions state otherwise.
